ILS Bulletin 2008-10: Location Name Change in the ILS

Full Bulletin: SELCO staff is modifying the name of one of our Online Libraries in Horizon and in the iPAC to reflect that location’s legal name change. Chosen Valley High School will become Chatfield High School in the iPAC and in Horizon. The location code in Horizon will remain the same- chats. This will ease confusion for delivery staff in our libraries as well as reflecting the wishes of Chatfield Schools.

This change will take place within the next few days as SELCO staff modify both Horizon and iPAC text. A PDF of this bulletin can be found here.

ILS Bulletin 2008-9: Web Reporter Shared Login Fixes.

Full Bulletin:

A fix has been identified for the shared logins that are used in Web Reporter. The issue of concern was caused when a user would check “Do not prompt me again” in the report export options. Once this was checked, others using that login would have formatting issues when exporting reports to Excel, on some of the shared logins. SELCO has implemented this fix to reset the export options, and will be periodically be resetting the logins to avoid the persistent issues with this. This maintenance will be done monthly, and SELCO staff can repair the issue if a call comes into the helpdesk requesting assistance.

ILS Bulletin 2008-8: Web Reporter report enhancements.

Full Bulletin:

Enhancements are being made to some of the reports available in Web Reporter. These enhancements have come from requests made in the past by SELCO libraries. These enhancements are currently being worked on, and by nature of the Web Reporter product, they are visible to anyone using Web Reporter. Work on these enhancements is scheduled to finish by July 15. Any reports that are being worked on will have (TESTING) designated in the title of the report. This signifies that the report has been changed, but may not be in its final form. Once the testing work is complete, the report title will change to (UPDATED). This will signify that the enhancement has been finalized. Once all enhancements associated with this project have been completed, (UPDATED) will be removed from the titles of these reports. The following is a brief description of all the enhancements planned:

1. Add ability to break down CKI/CKO/IHU Report by collection code.

2. New Borrower Count broken down by btype.

3. New Borrower Count broken down by city/county.

4. New Borrower Count broken down by state.

5. Add videos, CDs and other A/V materials to Titles with Best Circ report.

6. Remove Iowa Patrons from the Bad CI/CO report.

7. Add columns for created date, last CKO date, item status, status date, barcode and copy to the Titles with Best Circ report.

8. Limit for items added since a given date in the Titles with Best Circ report.

9. Collection code added to Titles with Best Circ Report.

10. Include last CKO date in Statcat Item List.

11. Expired Holds report should have both the location that owns the item and the pick-up location of the item included on the list. The barcode of the item could be substituted for the owning location.

12. Add copyright date to the Weeding Report

ILS Bulletin 2008-7 : Expanded Title Search added to the iPAC.

Full Bulletin:
An additional search option will be added to the iPAC on 5/15, found both in Basic and Advanced Tabs. This will be called Expanded Title and will be a browse search that includes the 730 / Uniform Title field.

The 730/ Uniform title is equivalent to the title contained in the 130 field of the same record. It links equivalent headings within a system or from different thesauri or authority files. Staff should understand that this new search’s remay be more than a patron is looking for and may wish to be familiar with.

This is a recommendation by the ILS Operations Committee to add additional search options to your staff and patrons’ results when using the iPAC.

ILS Bulletin 2008-6 : New Collection Codes for High Definition and Blu-ray DVDs

SELCO staff are creating a number of new collection codes to provide proper identification of both High Definition and Blu-ray DVDs that are waiting to be added to our Online Libraries’ collections. In order to facilitate cataloging and adding these items, these codes are being added to the collection immediately.

Please restart your Horizon sessions at the end of business day, March 25, to see all new codes. The list below is included for your information, and the pdf to make it more convenient to share with your staff.

ILS Bulletin 2008-5 : Creation of PEMSHS and Transfer of Borrowers and Items

Full Bulletin: As school districts change, so do their legal names. In a response to the merging of the Elgin-Millville and the Plainview Public School Districts, SELCO staff modified all visible references to Plainview Schools in Horizon and on our Online Catalog. We cannot, however, modify the location code of an existing location. So that the two schools of the Plainview-Elgin-Millville School District follow the same naming convention throughout, we have created a new location named Plainview-Elgin-Millville High School and coded pemshs.

In order to complete the process we are going to move all patrons, items and request locations to code pemshs from plas on March 30. Mike Cabaya and staff’s logins will be modified to be pointing to the new location. This should be a completely seamless move and will not affect the function of Horizon.

In the near future, SELCO staff will be deleting the plas location code. This also will not affect your use of Horizon.

ILS Bulletin 2008-4: New Collection Code for Newsletters

Full Bulletin: SELCO staff has added a new collection code on the request of one of our Online Libraries and after review and recommendation by the ILS Operations Committee. The collection code is 'nl,’ for Newsletters.

Just a reminder, you can use this or any other Collection Code without making any modifications to your existing circulation parameters or privileges. However, if with the new Collection Code you will be using an ITYPE you have not ever used before, you must fill out the circulation exception form found on the Horizon documentation page of the SELCO website. http://www.selco.info/online-library-services/ils/horizon-documentation . Your ITYPE exceptions must be entered into the Horizon system or your newly added items will follow the default values for your location.

ILS Bulletin 2008-3: Purchase Recommendation Added to Online Catalog on March 17, 2008

Bulletin Summary: The ILS Operations Committee has discussed and recommended an update to the Online Catalog. This new functionality will allow patrons to contact their library with a purchase recommendation for a book. By default, the library director will receive the purchase request email; if you would like another email to be used as the contact, please contact SELCO by March 17th. The purchase order request form will be fully implemented on that date.

ILS Bulletin 2008-1: Labels Changing in the Online Catalog

Complete Bulletin: We are changing the labeling to the Online Catalog’s Basic searches. At this time, they are: Keyword, Author, Title, Subject, Series.

The ILS Operation Committee recommended that the labels be changed to make it clearer to the patrons that the Basic searches are all keyword searches. SELCO staff will be modifying the Basic tabs to read: Keyword, Author Keyword, Title Keyword, Subject Keyword, Series Keyword. This work will start later this week.

ILS Bulletin 2007-7: New Borrower Type Added

Bulletin Summary:

There have been several requests for a borrower type that can be used to manage patrons’ ability to request items, check out items and other circulation privileges. We have added a BTYPE called Restricted Borrower (rb). There is also a corresponding BSTAT called bt-rb.

This borrower type is not set up for any system-wide restriction. If you wish to have restrictions added into the circulation privilege and parameter tables, please fill out the attached form and send it to SELCO’s Help Desk. If you use this borrower type without setting up circulation exceptions where you want them, it will use your default values.

ILS Bulletin 2007-6: Blue Slips

At the recommendation of your elected representatives to the ILS Operations Committee, SELCO will no longer require the use of blue slips for in-region interlibrary loan. The blue slips were very useful when created, they served their purpose, but are no longer needed.

ILS Bulletin 2007-5: Billing Notices Work Flow

SELCO staff have had reason to examine the billing notice cycle and would like to share their findings and a recommendation. The full bulletin explains how and when a billing notice is generated so that any Online Library can decide the best schedule for delivery of billing notices to patrons who owe fees above a locally determined value. The generation of billing notices can also be suppressed if desired.

ILS Bulletin 2007-3: Manual Processing Fee Block

We have, after due consideration and discussion with the ILS Operations and Technology Policy Committees, added a new fee block called Processing Fee (feepro) that is similar in purpose to the system-generated Lost Processing Fee block. This is a manual fee block so that processing fees can be tracked as a separate category.

ILS Bulletin 2007-2: New Borrower Type and Borrower Statistical Code Created

After review by the ILS Operations and Technology Policy Committees, a request for a new BTYPE has led to the creation of a BTYPE that will expire overnight and can be used for guest cards for Pharos sign up. The code for this borrower type is 1Day. Anyone having this borrower type cannot check out or request items. The cards created with this BTYPE must be renewed each day that they are made available to guest patrons using your computers.

ILS Bulletin 2007-1: New iPac Search Toggle

At the request of the ILS Operations Committee, SELCO has changed the appearance of the iPac search pages. The hyperlink for switching between your local iPac profile and your regional profile has been moved to a more prominent position on the page and made much larger (see figure below). This change is designed to make the profile switching feature more prominent to patrons.

ILS Bulletin 2006-21: Horizon 7.3.4 Upgrade

On January 1st and 2nd SELCO staff and your local staff will be performing an upgrade to Horizon 7.3.4.

There are two documents attached to the email version of this bulletin that explain in detail what you will need to do on January 2nd, and what this upgrade is all about. The first document (What to do on 1-2-2007) explains the steps that will need to be performed on each Horizon workstation. The second document is the SirsiDynix Release Notes for this upgrade.

ILS Bulletin 2006-20: Increase of Number of Overdue Items that restrict Renewal by BTYPE

There are certain BTYPE settings that are system-wide, including those values that require staff to over-ride an exceeded limit to continue with circulation tasks. These same values restrict a patron’s ability to renew items online.

At the last Joint ILS Operations and Technology Policy Committee meeting, it was decided to raise the number of overdue items that prevent renewals to be 25 items; this value is currently five items. This will be put into place on November 13, 2006.

ILS Bulletin 2006-19: PC Reliance Training and Use by Online Libraries

Sign up for training in PC Reliance! This is an off-line circulation system that allows you to continue basic circulation activities when you cannot connect to the Horizon server. PC Reliance allows you to record checkout transactions, print checkout receipts if desired, and then upload these circulation transactions to the server when you are able to connect again. SELCO staff will process the uploaded files and then you can run an exceptions report to list the transactions that the Horizon server cannot process.

Installation and training will occur at our Online Libraries throughout the Fall and until completed. SELCO staff will install and test PC Reliance on your circulation stations and train your staff to run the software and upload the files.

ILS Bulletin 2006-18: New BSTATs Created

A group of generic BSTATs has been added to the BSTAT list and can be used for almost any statistical information gathering you wish to report on. This list all start with Z- and are coded Z-1, Z-2, etc.

ILS Bulletin 2006-17: SELCO BTYPE Rollover Form

Description of Service: SELCO will automatically change BTYPEs and BSTATs of your borrowers when they reach a specified age. Only borrowers that meet the specific criteria filled out in this form will be changed. As a one-time cleanup effort, SELCO will correct BTYPEs and BSTATs that do not follow the specific criteria (ex. 27 year old borrowers that are still J, when the form calls for the J to A rollover at age 18). Cleanup reports, followed by careful inclusion of birth date in borrower records should keep your BTYPEs and BSTATs accurate. If the library is interested, SELCO can add a note block to all your library’s borrowers that do not have a birth date on record. This will alert circulation staff to update the borrower’s birth date, BTYPE and BSTATs.

ILS Bulletin 2006-16: Changes to Copy/Item List View and to the Find PO By Header View

There is a change being made to the Copy/Item List View that will not affect the initial view as the list opens but that will make it easier to manipulate the list to display additional information. Any field that is in the edit view of an item, if possible, will be added as a displayable column in the list view.

Another change is being made in Acquisitions. The view of Purchase Orders by Header will now display the date the PO was created. Due to the naming conventions the region is using in Acquisitions, this will make it easier for some sites to locate the new Purchase orders in a long list.

These changes are being done immediately as they do not interrupt the daily workflow of anyone using the Copy/Item List or Acquisitions. Please inform staff as is appropriate.

ILS Bulletin 2006-15: Using an ILL Prefix in Front of MnLINK-Supplied Titles

It is requested that all fast-added items have an ILL-prefix (in CAPS) added to the beginning of any title field. This recommendation came from the Data Standards and Access Committee and was approved by the Joint ILS Operations and Technology Policy Committees.

For example, a fast-added item’s title field would be “ILL – Gone with the Wind” or “ILL – The Incredibles.” This will make it much easier to identify materials borrowed via the MnLINK Gateway.

ILS Bulletin 2006-14: Spine Label Options

ILS Bulletin 2006-13: Databases on the Research Page

On August 12, 2006 the databases offered by SELCO will be changing. The Subscription Database Work Group recommended the following changes, which were endorsed by the ILS Operations Committee on July 20, 2006 and approved by the SELCO/SELS Board at the Quarterly Board Meeting on July 25, 2006.

ILS Bulletin 2006-12: General Material Designation for Self-Contained Digital Recording

A new type of audio and video product has come out on the market. These devices differ from typical books on tape and compact disc in that the device to play them is included with the digital file. Being self-contained devices, the borrower can only listen to the audio book on the included player. At this time, Playaway is the only provider of these devices.

SELCO has not had a GMD that accurately describes these items. Therefore, the GMD (general material designation)(245h) "[self-contained digital recording]" (entered in lower case) is to be used as for devices that include digital audio and video files in a machine that will play these files.

ILS Bulletin 2006-11: Item View and Data Entry Changes

We are making four changes to the system after recommendation by the Data Standards Committee and review by the ILS Operations and Technology Policy Committees:

• There is a 10% increase to all collection code default prices.
• Price will be a mandatory field when you are entering an item record.
• An Item Status column is added to the end of the Copy-Item List and the title field is decreased to 20 characters in length.
• The collection code is added as a new column on the check in screen.

Only one of these changes affect workflow, being the mandatory price on an item record, and this will be implemented on Wednesday, July 19.

ILS Bulletin 2006-10: "More Libraries" Tab in iPac

Rochester Public Library will go live as a MnLINK Gateway site on Wednesday, July 5th. As of that date, all interlibrary loan activity between SELCO Online Libraries and Rochester will be done through MnLINK ZPORTAL. All requests for items that are not available on SELCO’s Horizon iPAC should be made through MnLINK ZPortal.

ILS Bulletin 2006-8 Cataloging recommendation regarding IP, CC, and cataloger numbers

Catalogers should use the status of IP (in process) for new bibs, complete the cataloging when the first item is added, and add their cataloger numbers to any bib record they substantially modify.

ILS Bulletin 2006-7: Using Local Request for your Magazines

Guidelines and procedures have been written so that any location can better adhere to copyright laws concerning interlibrary loaning magazines. The full bulletin outlines the steps necessary to set up temporary local request for your magazine collections, which will then roll into non-requestable ITYPEs after whatever time period you choose, up to 180 days.

Although similar to local request for books, dvds and other items, after the local request timeframe is completed your magazines can roll over to a non-requestable status if you choose, preventing requests from being placed on them.

ILS Bulletin 2006-6: ILL-BTYPEd Borrowers to be Fine Exempt

It was recommended at the May 2006 Joint ILS Operations and Technology Policy Committees Meeting that SELCO make fine exempt all borrowers with a BTYPE of ILL.

SELCO staff are adding exceptions to all locations to set fines for ILL borrowers to zero. This will not affect material already checked out, nor will it prevent an ILL borrower from being charged for lost materials. It will make it easier to check out to an ILL borrower as there will be less overriding of fine blocks.

ILS 2006-05 Minor Changes to iPac

A round of minor iPac changes will occur on 5/24/2006 as requested by the ILS Operations Committee. There are three changes that will occur all at once

1. The ‘comments’ block on the request page will be removed

2. The language on the request confirmation screen will be changed to not indicate a notification type (mail/email/phone).

3. The MARC 740 a and p, and the 700 t tag will be added back into the title keyword search.

ILS 2006-4 Netlibrary eBooks Removed from iPAC

Due to lack of use, the ILS Operations Committee has recommended that SELCO remove the Netlibrary eBook holdings from iPAC. SELCO staff will begin this work on 03/22/2006, and will send confirmation when the items and bibs are deleted. As part of the removal of these items, the eBook limit in both staffpac and iPac will be removed as well. eBooks will still be available for use via the 'Other Resources' tab in iPAC and on the Online Resources page.

ILS 2006-3 - All Request List Now Location-Specific

At the recommendation of the ILS Operations Committee, SELCO staff has made the 'All Request List' show only requests where your library is the pickup location. SELCO staff will begin work on this process on Monday, 3/27/2006 and complete it that day. The full request list will still be available in EasyAsk, and eventually Web Reporter when it is released this summer. The request lists that are being sent out each week by SELCO staff will continue to be delivered after the change takes effect.

ILS 2006-1 Multiple Changes to the iPac

SELCO has made several improvements to the iPac as recommended by the ILS Operations Committee. Among the changes are increased font sizes for the library’s name, two more format limits, and increased separation of your library’s holdings from the regional holdings while searching your local iPac profile. ILS 2005-20 New Procedures for Withdrawing and Deleting Records

Beginning on 12/20/2005 you will no longer be required to withdraw item records in order to receive reports on them.
Under newly implemented functionality, deleting an item records moves it to a special copy of the item table where they will not be part of the catalog, but will be reportable through EasyAsk and eventually Web Reporter. SELCO strongly recommends deleting items as opposed to withdrawing them, as it is a much simpler process with fewer keystrokes.
This new way of deleting does not have the ability to record OCLC information, so Red Wing and Winona will still be required to withdraw their items until
SELCO runs their OCLC reports. Upon completion of the OCLC reports, SELCO will batch delete all of Red Wing and Winona’s withdrawn items.

ILS 2005 – 19: New Local Request ITYPEs

ILS 2005-18 Patron Purge Cycles In Place

SELCO has developed procedures to purge expired borrower records based on recommendations by the ILS Operations Committee and discussions with School Media Center Specialists. There will be two distinct purging cycles, one annual purge for schools based on 'graduation year' in the borrower record, and one quarterly purge for public library borrowers whose card has been expired for more than one year. This process will not purge borrower records with blocks of any kind. More information is available in the full bulletin.

ILS 2005-16 ‘Newly Acquired’ Status Being Changed After 30 Days

It has recently been noticed that a large number of items have the status of 'newly acquired' and are several months old. 'Newly acquired' as a status does not automatically roll over to 'available' as some have assumed. SELCO has developed a script to automatically change the status from ‘newly acquired’ to ‘available’ after 30 days in order to have these items appear on the pull list.

Items with the status of ‘newly acquired’ do not appear on the pull list. Due to a misunderstanding of the purpose of the ‘newly acquired’ status there are thousands of titles that are unavailable to fill requests.

ILS 2005-15 Online Resources Now Available in the iPac

SELCO has worked out a way to include online resources in the iPac. All SELCO and State provided resources will appear in your iPac profiles on 9/1/2005. Also available is the ability to add library-specific resources to ONLY your iPac profile. These resources will still be governed by whatever agreements you have with the database vendors. ILS 2005-13 Copy Specific Requests Now Available in iPac

The ILS Operations Committee has recommended that copy specific requests be made
available in iPac. This is primarily to allow patrons to place requests on specific volumes
of a multi-volume set. SELCO will be enacting this change on the morning of Monday,
August 22, 2005. Enabling copy specific requests represents a small change in the user
interface that can easily be taught to staff and patrons. There are also some pitfalls
associated with copy-specific requests that are explained in the full bulletin.

The ILS Operations Committee reviewed the item record’s copies screen after it was requested that the item barcode not be the last field in the item information. It was decided that a number of other changes be made to ease viewing. These changes will be made on Monday, August 22.

ILS 2005-12 Renewals for Items with Requests

Beginning 7/28/2005 borrowers will no longer be able to renew items in iPAC that have requests placed on them. Staff will still be able to perform this function for patrons in the Horizon client, but only with an override. This is a system-wide setting that affects everyone.

ILS Bulletin 2005 – 11: Changes to the Pull List and Eliminating the Current Requests Backlog

SELCO has determined that the behavior of the Horizon pull list was changed when we upgraded to release 7.3. This requires changes in the way the Online Libraries handle requests and the pull list. This change is partly responsible for a backlog of unfilled requests. The ILS Operations Committee has recommended a process by which these old requests will be expedited. Items on your pull list where the request is older than 30 days will be marked 'missing' on Monday, August 08, 2005. SELCO and the ILS Operations Committee ask that each Online Library attempt to clear this backlog before this step is taken.

ILS Bulletin 2005 – 10: Using Proxy Borrowers

Horizon has the capacity to allow a borrower to authorize another borrower to be a proxy borrower and check items out for him. The proxy borrower is given a barcode number that links to the authorizing borrower’s record so that when the proxy barcode number is used, the items are checked out onto the authorizing borrower’s record. The full ILS Bulletin explains the proxy borrower feature, gives instructions for use, and for identifying when a proxy borrower has been used.

Recently there have been a few reports of item records "disappearing" from the database. Usually, this is discovered when an item that had been charged is checked back in and Horizon reports an error of 'Invalid Barcode: That item barcode is not in the system'. In other words the item (which had been checked out) was deleted from the system at some point.

ILS 2004-17 Local Request Only

SELCO has received confirmation from Dynix that Horizon's implementation of "Local Request Only" is still not working properly in version 7.3.2 (which SELCO upgraded to in August). Dynix has issued a statement indicating that they are working on a patch which is to be released before the next version is released.

ILS 2004-16 Deletion of Rochester Public Library Borrowers
